Importing external templates is available on some Heropa subscriptions. To learn more, contact Heropa.
Importing external templates provides a way to use templates shared by other Heropa tenants on different domains.
To have templates shared with your company by another Heropa tenant, they will require your company's unique Heropa Company ID.

Locating your Company ID
- From the left navigation menu, select Administration / Settings.
- In the Configuration tab, view the Company ID field.
- Provide this Company ID to the other Heropa tenant company, so they can share templates with your company.
Importing an external template
To view external templates shared with your company, from the left navigation menu, select Templates. The External tab will contain a list of templates shared with your company. An external template will have one of the following statuses:
- Available: An external template that has had no local templates imported from it.
- Imported: An external template where local templates have been imported from it.

Update: An update has been published for the external template and at least one of the local templates has not been updated.
To import a template:
- Select Import template.
- In the Import external template modal, complete the following information:
- Name: Add a name for the template
- Primary region: Select a region to be the primary region for the template being imported.
- Once the above information has been completed, select Create.
Once the import is complete, a local copy of the template will be available for use in the Templates Local tab.
Updating an imported template
When an external template shared with your company has been updated and published by the sharing company, an Update Required status will appear against local templates imported from that external template.
To update the imported template from the Templates page:
- From the left navigation menu, select Templates
- From the row action menu of the template showing Update Required, select Update Template
- Review the changes that have been made
- Select Update Template if you wish to proceed, or Cancel if you do not want to update your imported template
To update the imported template from the Template details page:
- From the left navigation menu, select Templates
- Select the template showing Update Required
- In the top right corner of the screen, select Update Template
- Review the changes that have been made
- Select Update Template if you wish to proceed, or Cancel if you do not want to update your imported template
Email notifications when an external template has been updated
An email notification can be configured to be sent out when a new version of a shared template has been published by the sharing company. The email notification will detail which template has been updated, and provide the description of the change provided by the company that has shared the template.
To configure who should receive the Shared Template Version Update email notifications, create a group of users, as follows:
- From the Left Navigation menu choose Administration > Groups, and then click Add from the Top Navigation menu.
- In the Create new group window enter a Name for the group, for example: 'Template Published', and select Create. You will be redirected to the Group Details page.
- Next, from the Available users column on the left, select users who need to be notified and move them to the Group members column on the right. For more information on groups, see: Using groups.
- Then, from the left navigation menu, select Administration, then Email templates
- Locate the Shared Template Version Update email template make sure it is Active.
- To enable notifications, go to the Recipients tab.
- Select which groups will receive the email notification by moving them from the Available groups box on the left hand side, to the Notified groups box on the right hand side.
Members of the defined group will now receive email notifications when a new version of a shared template is available for update.
Optionally: you can modify the branding and format of the email template from the HTML tab.
